The operating system for medical device distribution.

DistributorOS runs a device distributorship end to end — manufacturers and contracts, catalog, accounts and physicians, case readiness, consignment inventory and trays, scrub forms, replenishment, commissions and transparency reporting — across every specialty a distributor carries, not one.

About this app

Run a medical device distributorship — cases, consignment inventory, physicians and commissions — on one record set instead of spreadsheets and text messages.

DistributorOS is the operating system for device distribution across every specialty a distributor carries. It holds the manufacturers represented and their contracts, the product catalog, hospital and ASC accounts with their physicians, scheduled cases with their bill of materials and readiness, consignment inventory down to lot and expiry, scrub forms, replenishment, opportunities, commissions and physician transfers of value.

What you can do

  • Maintain manufacturers, distribution contracts and the product catalog
  • Manage accounts, physicians and territory coverage
  • Schedule cases with their bill of materials and track readiness exceptions
  • Control inventory locations, lots, serials, expiry and replenishment
  • Submit scrub forms and calculate commissions with the rule that produced them
  • Log physician interactions, commitments and reportable transfers of value

Problems it solves

  • Case readiness confirmed by phone calls the night before surgery
  • Consignment stock, trays and expiry tracked in spreadsheets nobody trusts
  • Usage re-keyed into billing, replenishment and commission calculations
  • Transfers of value reconstructed at year end for Open Payments

Who it is for

  • Independent distributors and distribution agencies
  • Sales representatives and field operations
  • Inventory and logistics managers
  • Finance and commission administrators
  • Compliance officers handling transparency reporting
Exception-based command center: only the cases, lots and promises that need a human

Capabilities

What DistributorOS does

Every module writes to the same controlled record set, so nothing has to be exported, re-keyed or reconciled.

01

Manufacturers, contracts and catalog

Represented lines, territory and exclusivity, renewal notice, commission terms and the product catalog with UDI-DI, GMDN and pricing.

02

Accounts, physicians and cases

Hospitals, ASCs and IDNs with their physicians, preferences and coverage; every case scheduled with its bill of materials and readiness flags.

03

Inventory, consignment and trays

Locations, lots, serials, expiry and minimum levels across owned and consigned stock, with replenishment requests raised from real usage.

04

Scrub forms, commissions and transparency

Case usage captured once and reused for billing, commission calculation with the rule snapshot, and interactions with transfers of value for Open Payments.

Regulatory foundation

Standards it is built against

  • 21 CFR Part 820 / QMSR (distributor obligations)
  • 21 CFR Part 11
  • UDI recordkeeping
  • Sunshine Act / Open Payments
  • EU MDR 2017/745 Article 14

Qevatrix Intelligence

Where AI helps — and where it stops

Qevatrix Intelligence surfaces the exceptions — cases at risk, stock about to expire, promises going stale — and drafts the follow-up. Every suggestion is a recommendation until a person acts on it.

AI output is always a draft. Approval, signature and release of any regulated record require an authenticated, qualified human.

Works with QualityOS

Distributors with their own quality obligations run QualityOS on the same tenant, so complaints and field issues share one record set.

Value

The commercial case

What Professional replaces

Professional is about $19,140 per year — one system instead of an inventory spreadsheet, a case-tracking group chat, a commission workbook and a year-end transparency reconstruction.

  • Case readiness confirmed in the system rather than by phone the night before
  • Expiry and minimum levels watched continuously instead of at count time
  • Usage captured once and reused for billing, replenishment and commissions
  • Transfers of value recorded as they happen, not rebuilt in January

Questions

DistributorOS pricing FAQ

Is DistributorOS specialty-specific?
No. The specialty taxonomy is configured per distributorship, so every line you carry is supported the same way.
Can we cancel?
Subscriptions run for the committed term. Annual plans do not auto-escalate mid-term, and you can choose not to renew with 30 days' notice before the renewal date. Month-to-month plans, where offered, can be cancelled at the end of any billing month.
How much does annual billing save?
Annual commitment is the recommended option and is priced roughly 15-20% below the equivalent month-to-month rate. The exact saving for each plan is shown on its card when you switch the billing toggle.
Is onboarding included?
Standard onboarding — tenant setup, configuration walkthrough, administrator training and the standard validation documentation — is included on self-service tiers. Assisted implementation, data migration and executed validation are optional paid services, quoted before you buy. Enterprise implementation is scoped in your agreement.
Are there mandatory implementation fees?
No. Nothing is invoiced that is not on your order form. If your deployment needs assisted implementation or executed IQ/OQ, we quote it up front as an optional service rather than adding it later.
How are users counted?
Pricing is based on edit and power users — people who create, review, approve or sign records. Read-only, training-only and basic users are generous by design, because a quality or regulatory system only works when everyone can see it.
Is AI included?
AI included with fair-use protections. Allowances are per tier and abuse controls apply; we contact you before any limit affects your work.
Do we pay for updates?
No. Product updates, new capability within your tier and regulatory content updates are part of the subscription. Version history and validation impact notes are published with each release.
What support is included?
All plans include email support from people who have worked in regulated environments. Professional and above include prioritised response targets; Enterprise agreements can define named contacts and response commitments.
What does Enterprise add?
Multi-site and unlimited scale, SAML/OIDC and SCIM-ready provisioning, dedicated validation support, custom retention and data residency, API and integration work, and priority onboarding. Enterprise is always a quoted annual agreement.
Can we upgrade later?
Yes. Applications share one tenant and one identity, so moving up a tier or activating another Qevatrix application makes your existing records available immediately — there is no migration and no re-keying. Upgrades are pro-rated.
Can we get our data out?
Always. Records, revisions, signature manifests and the audit trail export to open formats (CSV and PDF packages), and Enterprise agreements can add scheduled or API-based extraction.
